Onboarding forms can now be sent automatically
We know that when a new hire starts, you want to get paperwork out of the way so you can focus on more important activities like making introductions to new colleagues. Now, you can set up onboarding forms to be sent to new hires and rehires automatically. Like carrier enrollment forms, these forms (W-4s, I-9s, direct deposit information, etc.) will get done quickly, and you won’t even have to think about it!
All you have to do is head to the “Settings” of your onboarding forms and turn “Auto-Sending” on. Note: this is view-only for Standard Administrators.
Once this setting is turned on, employees either added to Maxwell as new hires for the first time, or rehired in Maxwell, will be sent the form after they log in and complete their personal information. This ensures the information they entered into Maxwell is automatically populated on the form, so they don’t have to do it twice.
They’ll find their form waiting for them in the “Forms” tab, where they’ll sign it electronically using an intuitive DocuSign interface. Learn even more about auto-sending here >
FYI, this functionality can be set up in the old forms system using QLE Assignments.
Downloading forms in bulk is now even better
Many of you have told us it’d be great to have a log of all your bulk downloads right in Maxwell. You’ll be happy to hear there’s now a “Bulk Downloads” page for just that purpose!
Now, when you download multiple completed forms at once, you’ll be brought to a new “Bulk Downloads” page where a zip file will be prepared for you. This should only take a minute, but you can navigate away from the screen while the zip file is being prepared.
This page also displays information about the form, such as who created the bulk download and at what time. You can return to this page to download the zip file again by clicking Forms > Bulk Downloads on the left-hand navigation. Learn even more about bulk downloads here >

We know you were busy at the end of the year, so we provided a quick recap of recent improvements you may have missed.
EOI forms can now be sent automatically
Back in December, we added the ability for you to set up an Evidence of Insurability (EOI) form to send to employees automatically when they (or their spouse) confirm to enroll in a voluntary product with a coverage amount over the Guaranteed Issue (GI). The form will also send when the employee or spouse changes their coverage amount from at or below the GI, to above the GI. Learn more on the Admin Knowledge Base >
Preview forms right from the forms dashboard
You can now preview a blank version of any form on the forms dashboard. Just click Preview Form from the drop-down and a blank version of the form PDF will appear in a new tab, where it can be downloaded and printed.
Cleaner employee view
You may have noticed the employee view in Maxwell is now cleaner and more refined. Back in December, we gave it a refreshed look and feel, making action items more pronounced so employees can be confident in their next step. The overall view remains the same, it just has a fresh coat of paint!
