About the BambooHR Payroll Integration

 

Please Note: This integration is not yet available to all Maxwell Health users. The BambooHR Payroll Integration is only available through the Early Access Program.

 

Maxwell's BambooHR Payroll Integration gives you an effortless way to sync your payroll deduction data in real-time between Maxwell and BambooHR. With this integration, it is easy to manage your payroll changes while keeping both systems synced together.

About the Integration 

We are providing the ability to our mutual BambooHR clients to automate their payroll process through an integration which will make it possible to pass employee deduction data, including employer contribution amounts, effective dates and termination dates. If you were already a user of the BambooHR Integration, you know that it automatically synchronizes your employee’s demographic information between Maxwell and BambooHR. Now with the new BambooHR Payroll Integration, deductions in Maxwell will flow into your BambooHR payroll system in almost real-time.

Updates to payroll made in Maxwell will override payroll updates in BambooHR so it is important to review and validate your intended payroll edits are made in Maxwell so it syncs over to BambooHR.

Setting Up the Payroll Integration

You will first need to make sure that three pieces of information are an exact match between Maxwell and BambooHR:

  • The benefit names.
  • The effective date of each benefit.
  • The end date of each benefit.

It is especially important that these three pieces of information match in both systems so the integration works, and you can activate the sync.

Opting into BambooHR Payroll for Clients with an Existing BambooHR API Integration

If you already have an existing BambooHR integration that syncs demographic data and you would like to opt into payroll deduction data also syncing, you will need to pause your sync. You can do this by entering the Settings tab > EDI and Integrations > Current Integrations where you will find your active BambooHR Integration which needs to be paused:

Click into the BambooHR Integration tile and you will see this configuration page where you can click ‘pause sync and make changes’:

Once you have done that, it brings you to the configuration page where you can select ‘Yes, sync deductions from Maxwell into BambooHR’.

 

Once the above has been selected, you may advance forward to review a summary of your configuration settings and if the settings are set up to your liking, you can click ‘Activate and Sync’. Your BambooHR Payroll Integration will be activated. You may run a ‘preview report’ to see the payroll deductions which should match what is in both systems.

Opting into BambooHR Payroll for Clients with an Existing BambooHR API Integration

For a client that is brand new to the BambooHR integration, you will want to first activate the integration by navigating to Settings > EDI and Integrations > All Integrations tab. Click the BambooHR tile.

You will be taken to the ‘About this Integration’ page. Review the checklist of items to complete prior to advancing. You will click on ‘Next: Connect’ on this page once all tasks and configurations have been completed - including confirming benefit names, and the benefit effective dates and end dates. This will make sure the two systems match (as explained in above case for existing integrations set-up).

Once you have advanced to ‘Connect’, enter the subdomain and BambooHR API Key to connect to BambooHR. You will then be taken to the configure screens followed by the activation of the integration.
